Privacy Policy
This Privacy Policy explains how Collimet (“Collimet,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you visit our website, use the Collimet application, join an organization, or communicate with us.
1. Information We Collect
Account and identity information
When you sign in with Google, we receive basic identity information made available through Google Sign-In, such as your name, email address, profile image, and Google account identifier. We use this information to authenticate you, match you to a Collimet account or organization, and display your profile. Collimet does not receive your Google password.
Organization and user-management information
We may collect organization names, user roles, invitations, property access assignments, account status, acceptance of legal terms, and related administrative records.
Property and operations information
Customers may enter or connect information needed to operate vacation-rental properties, including property names and addresses, calendar-feed URLs, reservation dates and summaries, owner blocks, cleaning assignments, cleaner contact information, notes, task records, checklists, property instructions, uploaded reference materials, and operational status information.
Communications and early-access information
If you contact us or submit an interest form, we may receive your name, email address, organization information, message, and any other information you provide. The public website currently uses Tally to process early-access submissions.
Device, notification, and technical information
We may collect device and browser details, session identifiers, push notification subscription information, application version, IP address, timestamps, security events, error information, and server logs needed to operate, secure, diagnose, and improve the service.
2. How We Use Information
We use information to:
- authenticate users and control access to organizations and features;
- provide calendar aggregation, planning, cleaning, task, property-information, and notification features;
- process invitations and maintain account permissions;
- operate, maintain, secure, troubleshoot, and improve Collimet;
- respond to support requests and communicate service-related information;
- detect misuse, fraud, unauthorized access, or security incidents;
- comply with legal obligations and enforce our Terms of Service.
3. Administrative and Maintenance Access
Authorized Collimet personnel may access customer records and database information when reasonably necessary to provide support, investigate an error, maintain or secure the service, restore data, respond to a customer request, or comply with law. Such access is limited to legitimate operational purposes and is not used to sell, advertise against, or commercially exploit customer data.
4. How We Share Information
We do not sell personal information. We may disclose information only in the following limited circumstances:
- Within your organization. Authorized administrators and users may see information based on their assigned role and permissions.
- Service providers. We use vendors that help host, secure, authenticate, communicate, collect forms, or otherwise operate Collimet, such as Google, Render, database and infrastructure providers, email or push notification providers, and Tally. These providers process information only to perform services for us or our customers.
- Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, legal process, or governmental requests; protect rights, safety, and property; or investigate fraud, abuse, or security threats.
- Business transfers. Information may be transferred as part of a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality and notice obligations.
- At your direction. We may share information when an authorized user asks us to do so.
5. Google User Data
Collimet uses Google account data only to provide and improve user-facing authentication and account features. We do not sell Google user data, use it for targeted advertising, transfer it to data brokers, use it for credit or lending decisions, or use it to train generalized artificial intelligence models. Our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
6. Calendar Feeds and Third-Party Services
Collimet may process calendar-feed information supplied by customers or made available by third-party booking platforms. Those platforms have their own privacy practices and terms. Collimet is not responsible for the privacy, accuracy, or availability of third-party services.
7. Data Retention and Deletion
We retain information for as long as reasonably necessary to provide the service, maintain security and audit records, resolve disputes, comply with law, and enforce agreements. Retention periods may vary by data type.
An organization administrator may request account or organization-data deletion by contacting us. We may need to verify the requester’s identity and authority. Some records may be retained when required for security, legal, accounting, backup, or dispute-resolution purposes. Backup copies may remain for a limited period before being overwritten or deleted.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including authenticated access, role-based authorization, encrypted network connections, managed hosting, logging, and restricted administrative access. No internet service or storage system can guarantee absolute security.
9. Your Choices and Rights
Depending on where you live, you may have rights to request access, correction, deletion, or a copy of certain personal information. You may also ask questions about our data practices or withdraw from nonessential communications. Organization-controlled operational data may need to be handled through your organization administrator.

10. Cookies and Local Storage
Collimet may use cookies, browser storage, or similar technologies that are necessary for authentication, session continuity, preferences, security, and application functionality. We do not currently use these technologies to sell personal information or conduct cross-site targeted advertising.
11. Children’s Privacy
Collimet is a business operations service and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
12. International Use
Collimet is operated from the United States. Information may be processed and stored in the United States or other locations where our service providers operate, subject to applicable safeguards.
13. Changes to This Policy
We may update this Privacy Policy to reflect changes in the service, law, or our practices. We will post the updated policy with a revised effective date and provide additional notice when appropriate.
